Finding Accounting Records

Setting Criteria

The information you get from the Query Box will depend on what you type into the Criteria section of the Query Box (located at the bottom of each accounting worksheet in the MacNail construction accounting software). The second line of the Query Box is where you will enter criteria.

NOTE-- In 2000, MacNail was replaced by Goldenseal construction accounting software. Goldenseal is an integrated program that includes general accounting, job costing, payroll and project billing, plus estimating and other features. Goldenseal has an easier Find command, which also allows searches for any type of data match.

If there are no criteria (all cells are blank), all of the items in the entire worksheet will be included. If you type something into one or more of the cells of the criteria, then only matches to those particular items will be included.

For example, you may want to see the total of all items from Cayuga Lumber in the Sample Material Log.
Show the Query Box of the Material Log, and type 1 under biz# in the criteria. This will find just those checks made to supplier number 1, which is Cayuga Lumber in our sample Master Index.

Another way to find the same information--type Cayuga Lumb into the who? cell of the criteria. Be very careful to type it exactly as it appears in the Master Index.

To find just those items from Cayuga Lumber that were used on the Peters job, keep the existing criteria and type a 5 into the job# cell of the criteria.

You can use mathematical formulas as criteria. To see all items in the Sample Material Log that cost more than $500, use these criteria:

To set a date range, as criteria as criteria, rename one of the other criteria titles to date. To see all material items for January, 1990, type >=1/1/90 into one date criteria cell, and <=1/31/90 into the other one. Don't forget to return the additional date criteria title to its original text when you are finished.Criteria, date range
