Checking for Bad Accounting Entries

Before making a Report or an Extraction, you may want to double check your Ledger or Logbook for bad entries.

NOTE-- In 2000, MacNail was replaced by Goldenseal construction accounting software. Goldenseal is an integrated program that includes general accounting, job costing, payroll and project billing, plus estimating and other features.

Some ways to catch bad entries in the MacNail construction accounting software:
1. Choose *Show Query Window from the FORMAT menu. Into the date column of the Criteria, type > (greater than sign) and then today's date. If any items show in the Query Box totals, use Data Find (see page 98) to check them--they may be typographic errors.
2. Type <1/1/90 (or the first day of the current year) into the date column of the Criteria. If any items show, check them to make sure they are not errors.
3. Type = (an equal sign) into the date column of the Criteria to find items with a blank date. If any items show, check them, and add a date if necessary.
4. Before job costing, type an = (equal sign) into the cat column of the Criteria to find items with a missing category.
5. You can use a criterion such as >10,000 to find unreasonably large numbers. Use a criterion of <0 to find negative numbers.
6. Check for invalid project numbers or payee numbers. For example, if your largest project number is 16 and there is no project 5, type >16 into the Query Box criteria under job number, then type 5. In both cases, the number of items shown in the Query Box should be 0. If it is not, use Find from the DATA menu to check each item, and change it if necessary.
7. Check for text in numeric cells. Clear all of the criteria in the Query Box. If any of the calculated values in the Query Box show #VALUE!, you have a non-number in a cell that should be a number. Scroll through the worksheet and look for it manually.
