Finding Accounting Records

Using the Query Box

Each MacNail Ledger and Logbook includes a Query Box at the bottom of the worksheet. The Query Box lets you ask for any kind of information from the worksheet.

NOTE-- In 2000, MacNail was replaced by Goldenseal construction accounting software. Goldenseal is an integrated program that includes general accounting, job costing, payroll and project billing, plus estimating and other features. Its Find command replaces the Query Box.

To use the Query Box, you will type in criteria. All items that match the given criteria will be included. The Query Box will give you totals and other information about the matching items. From the DATA menu, use Find to look at each item that matches the criteria, and use *Extract Special to extract a list of all matching items.

To get information from the Query Box:

1. Make sure that the desired accounting worksheet is the active file (front-most window).
2. Choose *Show Query Window from the FORMAT menu. A new window that displays the worksheet's Query Box will be created.
3. Type the desired criteria into the second line of the Query window (see below).
4. If boxes just below the criteria are blank, choose *Query Formulas to add them (see page 166).
5. If Calculation is set to manual, choose Calculate Now from the DATA menu.
6. The desired information will appear in the Query Boxes.
7. When you finish, click the close box of the Query Window so you can return to the MacNail construction accounting software.
