How do I send an invoice to a customer by email?

The best way to email a professional-looking invoice to a customer when using Goldenseal accounting software depends on your computer:

Macintosh

To send a project invoice by email using a Macintosh computer, follow these steps:

  1. Create a Billing Record for the project. This link explains more about project billing.
  2. Choose Print Forms from the File menu.
  3. Click on the Form Type button, and choose the type of invoice you'd like to print.
  4. Click the Print button.
  5. You'll see a printer dialog. Click the PDF button, and choose Mail PDF from the popup menu.
  6. The Mac will open your Mail program, so you can compose an email with the invoice included.

NOTE-- You can also choose Save as PDF at step 6. Save a file at a convenient location, and then use any email program to compose a message. You can then add the invoice as an attachment.

Windows Vista and Newer

To send a project invoice by email using a Windows computer, follow these steps:

  1. Create a Billing Record for the project. This link explains more about project billing.
  2. Choose Print Forms from the File menu.
  3. Click on the Form Type button, and choose the type of invoice you'd like to print.
  4. Click the Print button.
  5. You'll see a printer dialog. In the list of printers, click on PDF Complete. Then click the Print button.
  6. You'll be asked to save a PDF file on your hard drive. Give it a name that you'll remember, and save it in a location that you'll remember (Documents is a good place).
  7. Open your favorite email program, and compose a message to the customer.
  8. Attach the file you created in step 7, and send it.

Windows XP and Older, Macintosh OS 9

Older versions of Windows and Macintosh do not have built-in capacity to print invoies as PDF (Personal Document Format) documents. However, there are free utility programs available that allow you to print to PDF. Try a Google search on "PDF printer", or contact our support line for help.

Once you have installed a PDF printer, follow the steps above.

HINT-- Use the Custom Layouts command to change the appearance of any business forms that you print or email.
