Late Bids

What about bids that I receive after a project starts?

Once you start work on a project, Goldenseal estimating software 'locks' the estimate, so you can't change the project cost. Otherwise there would be problems with a mismatch of numbers between the estimate and the project billing. That also means that you can't change any subcontractor bids that are included in the estimate price.

What should you do if the final cost is different from the Bid that's in the estimate?

Bids as Rough Estimates

The simplest thing to do is nothing. Simply consider the original bid as a rough estimate, and enter actual expenses, as they occur. It won't do any harm if actual cost doesn't match the original bid.

If Goldenseal nags you or doesn't let you pay more than the bid amount, do the following:

  1. Choose Bids from the Income menu.
  2. Use the Find command to locate the bid in question.
  3. Click the More Info button.
  4. Turn off the checkbox for Warn if Overbilled.
  5. Click OK.
  6. Hit the Enter key on your keyboard to save the record.

Purchase Order Tracking

If you want to track the new bid price, you can use a Purchase/Work Order as a way to control the new work amount. To do that, follow these steps:

  1. Choose Purchase & Work Orders from the Costs menu.
  2. Click the New button.
  3. Enter the supplier or subcontractor who is providing the bid.
  4. Enter the amount of the bid, and any other details that apply.
  5. Hit the Enter key to save the record.

When you receive an invoice from the subcontractor, follow these steps:

  1. Choose Subcontractor Costs from the Costs menu.
  2. Click the New button
  3. Enter the subcontractor who gave you the bill.
  4. Enter the amount of the payment, and any other details that apply.
  5. Enter Purchase Order into the Applies To popup field.
  6. Enter the specific purchase/work order into the Transaction field.
  7. Goldenseal will track payments for the order, and warn you if you overpay.
