Filing Form 940 and other Government Reports

You can use the Company Payroll File to get information when filing Federal Forms 940, and 941, plus any similar state forms. You can also use it for calculating deposits to your Federal and State payroll tax withholding accounts.

NOTE-- Our newer Goldenseal construction payroll software prints to W2 reports, and includes reports that give you totals for 941 and other forms. It also tracks payroll taxes automatically.

To find totals for any period, use Excel's SUM function in an Excel formula (see page 208 for more about Excel formulas). You will:
1. Click in a cell at the bottom of the Company Payroll File, in the column for which you'd like to get a total.
2. Type =SUM( (equal sign, SUM, then an open parenthesis).
3. Drag the mouse through the rows for which you'd like a total). The formula will change to look something like =sum(C12:C16
4. When you have selected the desired range, type ) (a close parenthesis).
5. Click the Enter key. Your formula should look something like =sum(C12:C16)
6. You can use Fill Right to get the same sum for all the other columns in the Company Payroll File in the MacNail construction accounting software.

Filing W-2 Forms

Use the individual Payroll Files for creating W-2 forms in January. Each Payroll File will list the total gross pay for that employee, along with the total for each type of deduction. Newer versions of MacNail and Goldenseal fill in W-2 forms automatically.
