Master Addresses |
NOTE-- In 2000, we replaced MacNail with Goldenseal construction accounting software. Goldenseal is an integrated program that includes general accounting, job costing, payroll and project billing, plus estimating and other features. Goldenseal stores addresses and other contact info in each account, rather than in a single Master Addresses file. We still include these instructions on our website, for die-hard users of our original MacNail Accounting software. Set Up your Master Addresses File MacNail Accounting software now includes a Master Addresses file where you can store names, addresses and other information about each business to whom you write checks. NOTE: If you don't want to include addresses on your checks, you don't need to have a Master Addresses file. HINT: If you use the Master Addresses File, you will be able to use "window" envelopes, and have the printed information on the check receipt stub show through the window. Choose Update Addresses from the Data menu to create a new Master Addresses file (or to update one that you have already created). This command will search your Master Index, and put each payee that it finds into the Master Addresses file. When it first adds the payees, it will only include their code and their name (as listed in the Master Index). You will go into the Master Addresses File and type in the address and other information that you want to appear on the checks. For each new payee in the Master Addresses file, type in the name as you'd like it to appear on the check, the address (one or two lines), the city, state and zip code, and if desired, the social security number (or taxpayer ID number for suppliers and subcontractors). NOTE: The name in the Master Addresses file does not need to be identical with the Master Index name. You may want to print a more formal name on your checks, and use an abbreviated form in your Master Index so it is easier to read. To open the Master Addresses file and bring it to the front, after you've created it, choose Master Addresses from the MacNail menu. If you add more names to the Master Index, choose Update Addresses again to add the new items to the Master Addresses file. Afterwards you'll also need to type in the address and other information for each new payee. |
