Petty Cash

When you write a check or withdraw money for petty cash, use a job code of 99 and a cost category of PC when you enter the transaction in the Checkbook Ledger. The cash amount will be listed in the Office Cost Control worksheet without having it listed as an overhead cost by the MacNail construction accounting software.

NOTE-- In 2000, MacNail was replaced by Goldenseal construction accounting software. Goldenseal is an integrated program that includes general accounting, job costing, payroll and project billing, plus estimating and other features. Goldenseal easily handles petty cash, and other cash accounts.

As the money is actually spent, enter it into the appropriate Logbook or Ledger.

If a cash item is of a cost type that is being job costed from a Logbook, enter it in the proper Logbook. Enter the actual supplier code, cost category, and other information, and write 'cash' into the paid column for the item.
If the item is not being job costed from a Logbook, enter it as a cash item into a Ledger.

You can use the Query Box occasionally to reconcile the total withdrawn for petty cash with the actual cash amount spent.

If you handle a great deal of petty cash, you may want to set up a special Petty Cash Ledger to handle all of your cash transactions. Either make deposits directly to the Petty Cash Ledger, or transfer money there from a regular Checkbook Ledger. Both ends of the transfer will be recorded with a job code of 99 and a cost category of TF.
