Change Account Command

Version 3.7 of Goldenseal small business software adds a Change Account command. It allows you to switch an expense record to a different vendor, even if the record is already paid and locked. You can also use it to switch the Customer account for a Sales transaction.

When to Use

This command is most useful if you decide to split one vendor into two accounts, or merge two vendors into a single account. It can also be useful if you have been using an 'unknown name' account and then want to switch expenses or sales to a real account, or if you simply made a mistake and want to change it after the fact.

How to Use

To change the vendor in a locked expense transaction, follow these steps:

  1. Choose Material Purchase, Other Cost or Subcontractor Cost from the Costs menu.
  2. Locate the record you'd like to change.
  3. Choose Security from the View menu, and choose Change Account from the submenu.
  4. You'll see a dialog window. Enter a new supplier, then click OK.
  5. Goldenseal will change the record. It will also update the vendor array so it knows about the new expense record.

To change the customer in a locked Sales record, follow these steps:

  1. Choose Sales from the Income menu.
  2. Locate the record you'd like to change.
  3. Choose Security from the View menu, and choose Change Account from the submenu.
  4. You'll see a dialog window. Enter a new customer, then click OK.
  5. Goldenseal will change the record. It will also update the customer array so it knows about the new sale

Technical Details

WARNING-- This command can sometimes be very convenient, but it is also very dangerous! We put it into the Security menu and require Audit Trail access to use the command, so it won't be accessible to users who have a password that only allows them to do data entry. An unscrupulous employee could use the Change Account command to more easily disguise payments made to a false account, so be careful to restrict their access to the Audit Trail feature, so they can't use this command.
