Service Billing 1-2-3

Here are quick instructions for using Goldenseal to bill for services.

HINT-- These instructions work on the Sample Company file, and on your own file if you've created Customer accounts and Cost Items for the items you sell.

A Simple Service Billing

When you provide simple services to a client, follow these steps:

  1. Choose Sales from the Income menu.
  2. Click the New button.
  3. Enter the client into the Sold To field. NOTE-- If you don't see the client in the list of customers, choose Customers from the Accounts menu, and create an account for them, first.
  4. Type in a brief description and price for the work. HINT-- To show a detailed description of services provided, click on the Breakdown popup field on the left side of the window and enter Categories, then enter each item into the breakdown table.
  5. Enter a payment method.
  6. If you want, click the More Info button and enter additional details about the service bill.
  7. Hit the Enter key to save the record.
  8. To print an invoice, choose Printed Forms from the File menu, and click the Print button.

Inventory Services

When you provide "stock" services that use a standard price, follow these steps:

  1. Choose Sales from the Income menu.
  2. Click the New button.
  3. Enter the customer into the Sold To field.
  4. Click on the Breakdown popup field on the left side of the window and enter Items.
  5. Click in the first row of the breakdown table, and enter a service item. You can click in the Cost Item column and select an item, or enter a UPC code into the UPC Code column.
  6. Click in the Quantity column and enter the number of items.
  7. Enter a payment method.
  8. If you want, click the More Info button and enter additional details about the service bill.
  9. Hit the Enter key to save the record.
  10. To print an invoice, choose Printed Forms from the File menu, and click the Print button.

HINT-- You can use Cost Items and Assemblies to set up a detailed calculation of the cost for each service, including all its labor and material components.

Depositing Services Income

To deposit billed services income, follow these steps:

  1. Choose Deposit Funds from the Bank menu.
  2. Enter Billed Sales into the popup field at upper right.
  3. Put a checkmark next to each sale for which you've received payment. Click OK.
  4. Click the Create Deposit button to deposit the sales income.
